Key Accountabilities:

  • Support the team in keeping all managed entities are kept in good standing, in accordance with each jurisdictional deadline and overseeing completion of all regulatory and filing obligations for corporate entities managed by Highvern.
  • Proactive company secretarial support, including setting up meetings, collating board packs, working with stakeholders on deliverables and monitoring board actions.
  • Provision of administrative support in relation to the internal forums / committees, including local CRF, NBF and IGF where required.
  • Maintain data for inhouse entities, ensuring excellence of data quality on all relevant databases (complete, accurate and up-to-date). 
  • Assist with the maintenance of the Highvern Group Policy & Process Framework, including use of MetaCompliance. 
  • Maintenance of central storage place for key inhouse statutory documentation, ensuring that these are kept up to date.
  • Support with the maintenance of Highvern Group contracts register.
  • Proactively review the Approved Document Library to ensure that documents are kept up to date and accurate.
  • Ad-hoc support to CEO Office as required.
  • Constructive collaboration and communication with the Highvern & Permian groups. 


Requirements:

  • Maintaining confidentiality in relation to sensitive matters
  • Follow relevant operating procedures
  • Ability to work flexibly to accommodate changing priorities and deadlines
  • Support the Group Secretariat & Governance team
  • Familiarisation with and strict compliance with all internal & external rules / regulations
  • Professional representation of Highvern Group externally at all times
  • Ongoing compliance with all relevant regulatory/legal requirements
  • Maintenance of CPD and up to date technical awareness
  • Ability to work sensitively across different jurisdictional cultures
  • Proactive approach to identifying and implementing technology-driven efficiencies within the team.
  • Minimum of 3 years trust and company, fund, company secretarial or legal experience
  • Strong organisational skills 
  • Good interpersonal and communication skills
  • Good working knowledge of MS Office apps
  • Strong grammar and written skills 
  • Attention to detail
  • Collaborative team player
  • A Levels / BTEC Equivalent
  • Studying towards relevant professional qualification (Corporate Governance Institute, Society of Trust and Estate Practitioners)
